Privacy Policy
Last updated: 2 November 2026
This policy explains what personal information I collect, why, how I look after it and the rights you have. I've written it in plain English. If anything is unclear, email me at hello@neltina.com.
Who I am
NELTINA is run by me, Rupert Scrase, as a sole trader. I'm the data controller for the personal information described here, which means I decide how it's used and I'm responsible for keeping it safe. I'm registered with the Information Commissioner's Office (ICO).

- How I contact you, by email, WhatsApp, text message or app notification

- Anything you tell me about your goals
- Your quiz answers and result
When you become a member
- Your contact details and membership details

Health information
To coach you safely I may ask about injuries, medical conditions or pregnancy, and the member app can record sleep, energy and bodyweight. This counts as health information under UK data protection law, so I only collect it with your explicit consent and only use it to plan and support your training. You can withdraw that consent at any time.
When you visit the website
My website host keeps basic technical records, such as IP addresses and the pages requested, to keep the site running and secure. If you accept cookies, the Meta Pixel also collects information about your visit (see Cookies and the Meta Pixel).
Why I use it, and my legal basis
- To reply to your enquiry or quiz and arrange a discovery call. Your consent, which you give when you submit the form.
- To run your membership: bookings, coaching, programmes, check-ins and payments. This is necessary to provide the service you've signed up for (a contract).
- To use health information for your training. Your explicit consent.
- To keep financial records. A legal obligation.
- To keep the website secure and working. My legitimate interest in running a safe website.
- To measure my Facebook and Instagram ads with the Meta Pixel. Your consent, given through the cookie banner.
- To send you news or offers. Only with your consent, and you can opt out at any time.
I never sell your information.
How I contact you
I may contact you by email, WhatsApp, text message (including messages sent by my booking system) or app notification. I use these to reply to enquiries, arrange sessions, send booking and membership updates, and support your training.
I'll only send marketing messages, such as offers or news, if you've agreed to receive them. You can ask me to stop at any time by replying to the message or emailing hello@neltina.com. Stopping marketing won't affect messages about your bookings or membership.
Cookies and the Meta Pixel
This website doesn't use cookies to track you unless you say yes.
- Meta Pixel (optional). If you accept cookies in the banner, the website loads the Meta Pixel. This lets Meta (the company behind Facebook and Instagram) tell me which of my ads help people find NELTINA, for example whether someone who saw an ad later booked a discovery call. Meta may link this to your Facebook or Instagram account and use it under its own privacy policy. If you reject cookies, the Pixel isn't loaded.
- Remembering your choice. Your browser stores whether you accepted or rejected cookies, so you're not asked on every page.
- CRM sign-in (essential). A cookie keeps me signed in to my private admin area. It's only set on my own device.
You can change your mind at any time using the cookie settings link in the footer, or by clearing cookies in your browser.
Who I share it with
I only share your information with services that help me run NELTINA. Each one handles it on my instructions:
- Netlify: hosts this website and stores enquiries and quiz results
- Google Workspace: my email
- Glofox, and its payment provider: bookings, memberships, payments and booking messages
- Supabase, Vercel and Resend: the NELTINA Member App (see below)
- Meta: WhatsApp messages, my Facebook and Instagram pages, and the Meta Pixel if you accept cookies
I may also share information if the law requires it, for example in response to a valid request from a court or public authority.
Where it's stored
Some of these services are based outside the UK, including in the US. Where your information leaves the UK, it's protected by the safeguards UK law requires, such as UK adequacy decisions or approved contract terms.
How long I keep it
- Enquiries and quiz results: up to 12 months after my last contact with you, unless you become a member
- Membership records: while you're a member, then up to 24 months afterwards in case of any questions
- Financial records: six years, as UK tax law requires
- Member App data: see the section below
After that, I delete it or make it anonymous.
Your rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct anything that's wrong
- ask me to delete your information
- object to, or ask me to limit, how I use it
- ask for your information in a format you can take elsewhere
- withdraw your consent at any time, where I rely on it
Email hello@neltina.com to use any of these. I may need to confirm who you are first, and I'll reply within one month.
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Children
The website isn't aimed at anyone under 16. If you're a parent or guardian and think your child has given me their information, contact me and I'll delete it.
Social media
If you interact with NELTINA on Facebook or Instagram, Meta and I are jointly responsible for some of the information involved, such as the anonymous page statistics Meta provides. Meta's own privacy policy explains how it uses your information.
NELTINA Member App
If you're a NELTINA member, you can use my app (app.neltina.com) to log your training sessions and daily habits. This section explains what the app collects and how I use it.
What I collect
- Your first name, email address and, if you give it to me, your phone number
- The training sessions you log: exercises, weights, reps, sets and notes
- Daily habits you choose to record: sleep, protein, water, steps, energy and bodyweight
Why I collect it
So you can track your training and progress, and so I can see how you're getting on and support you.
Health information
Sleep, energy and bodyweight count as health data under UK GDPR. I only store it with your explicit consent, which you give when you first sign in to the app. You can withdraw that consent at any time by asking me, and I'll delete it.
Who can see it
Only you and me. I never sell your data or share it for marketing.
Where it's stored
Your data is stored in the UK (London) with Supabase, my database provider. The app is hosted by Vercel, and sign-in emails are sent by Resend. Some of these providers are based in the US; where any data leaves the UK, it's protected by the safeguards UK law requires.
How long I keep it
For as long as you use the app. If you ask me to delete your data, or your membership ends and you'd like it removed, I'll delete all of it within 30 days.
Your rights
You can ask to see, correct or delete your data at any time by emailing hello@neltina.com. If you're unhappy with how I've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).
Changes to this policy
If I make important changes, I'll update the date at the top and, where it makes sense, let members know by email.
